The Health Insurance Group’s Compliance Resolution as they Migrate to HubSpot from SharePoint

The Health Insurance Group, a renowned UK-based broker, faced challenges that impeded their operational fluidity. Struto stepped in to craft a bespoke HubSpot solution, streamlining processes and unlocking new growth opportunities.

Background

The Health Insurance Group is a UK-based insurance broker, specialising in health, wellbeing, and protection solutions. They provide a range of services, including private medical insurance and corporate wellbeing programmes, to individuals, small businesses, and large organisations.

Operating nationwide, The Health Insurance Group has built a strong reputation for over 31 years, delivering bespoke healthcare solutions. The company has received recognition within the industry, with several awards highlighting their commitment to exceptional customer service and innovative offerings in employee benefits.

Challenge

Following a successful onboarding to HubSpot Sales Hub Pro a couple of years ago, The Health Insurance Group sought to consolidate their dispersed data systems - specifically, transitioning policy data and compliance requirements from a complex configuration on SharePoint to a more streamlined, efficient solution.

With compliance being a crucial component of their operations as insurance brokers, The Health Insurance Group required a robust system to manage client documentation efficiently and transform how their documentation was generated and handled.

Solution

Struto devised a comprehensive plan to integrate The Health Insurance Group's requirements seamlessly into HubSpot. During a successful data migration from SharePoint and their other dispersed data systems, the Struto team extended HubSpot's data architecture to accommodate policy and premium information, creating custom objects and playbooks tailored to their operational demands.

By utilising the PDF Create Mate plugin from the HubSpot Marketplace, the team enabled the efficient generation of compliance documents, thereby transforming a cumbersome multi-system process into a unified, user-friendly operation.

Hurdles

While the transition was largely smooth, minor adjustments were necessary to fully align the solution with The Health Insurance Group's detailed requirements. The primary hurdle arose during practical application, when discrepancies between anticipated and actual property data outputs became evident. Thanks to prompt feedback and agile responses, these nuances were swiftly fine-tuned, ensuring the system met all nuanced client expectations.

Results

The project was completed on schedule, delivering significant improvements in operational efficiency. Data accuracy was markedly enhanced, and both brokers and administrative teams benefitted from reduced workloads.

Future Scope

Building on this success, Struto plans to extend similar solutions to The Health Insurance Group’s other insurance offerings – including their risk and travel insurance portfolios.
